The Foundation Office Assistant provides assistance to the Executive Director with all aspects of the Foundation Office This position reports directly to the Executive Director of Foundation.

Essential Duties and Responsibilities:

  • Assists in all aspects of the Foundation Office.
    • Meets and greets visitors for department meetings.
    • Supports other staff with organizational tasks.
    • Prepares and process payment, requisitions and reimbursements.
    • Compiles and creates folders and marketing materials for Foundation prospect meetings.
    • Schedules meetings and appointments, calendar and contacts maintenance, meeting preparation and follow-up.
    • Processes check requests for department expenses.
    • Achieves proficiency in Foundation software for development functions.
    • Performs data entry and report generation
    • Monitors the Foundation email account.
    • Upload and maintain Google Drive for the Foundation and Board of Directors.
    • Prepares check requests for Graduation Awards.
  • Works directly with Executive Director to assist in tracking development goals, best practice for donor service, and maintaining accuracy of donor records.
    • Assists in the coordination of donors and prospects, qualification, solicitation, and cultivation.
    • Maintains relationships with donors as needed; phone calls, email and departmental correspondence. .
    • Manages updates to constituent database and constant contact mailing lists to ensure all contacts are properly moved through the Foundation’s processes.
    • Manages event and donor updates to the Foundation website and Foundation donor platform.
    • Manages process of opening and closing new donor funds.
  • Manages the disbursement of Foundation scholarships, including coordination with selection committee and marketing.
    • Maintains and updates the Foundation’s online Scholarship/Donor Portal.
    • Sends welcome letter to new fund holders and assist with their stewardship.
    • Coordinates the Scheller Family transfer scholarships for LCCC graduates and prepares reports to donor.
  • Assists Executive Director in maintaining and reviewing prospect contact reports, proposals and projected solicitations to accurately represent efforts with prospects.
    • Manages Foundation reports, files and meeting books.
    • Prepares year end donor reports.
  • Liaison with College Relations department to ensure informational materials and communications for the foundation, special events and alumni outreach are extended to all parties in a timely and accurate manner.
  • Liaison with the Finance department, Business Office and Financial Aid to ensure accuracy of accounts.
  • Provides confidential communications with Foundation Board of Directors, scholarship applicants, and donors.
  • Provides confidential communication with potential scholarship prospects.
  • Prepares agendas and other documents for Foundation Board of Directors and Foundation Committee meetings.
    • Attends and record minutes for Foundation meetings.
  • Engages alumni and student ambassadors to represent the College at various fundraising events and develop opportunities for giving and to aid them in engaging with leadership and donors.
  • Assists with special events planning, preparation, execution and day of set-up. Process online RSVP’s for foundation events and in-kind donations.
  • Additional tasks and special projects as assigned, or on own initiative
  • Develops and maintains an operational manual.
  • Performs other duties as assigned. 

Qualifications:

Required

Education

  • Associates degree from an accredited college or High school diploma and two years clerical office experience.
  • Foreign degrees – must provide a US equivalency report of your degree credentials with your transcript, if not, your resume will not be accepted.

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

      Work Experience

  • Minimum of two years of clerical office work experience.
  • Demonstrated advanced level of MS Office expertise, including proficiency in Microsoft Word, Excel & Outlook. Quick books a plus.

  • Ability to set up and administer remote meetings.
  • Demonstrated organizational skills, and ability to plan, schedule, and finalize activities to meet deadlines; maintaining a high level of attention to detail, are essential.
  • Ability to advance departmental priorities independently and move multiple projects forward with a team, adapting to change as needed;
  • Strong interpersonal skills to work effectively with donors, alumni, community members, and colleagues.
  • Excellent verbal and written communication skills, including the ability to draft business correspondence, write brief reports and proofread accurately.
  • Position requires high level of accuracy and attention to detail.
  • Ability to work both as part of a team effort or independently in a reliable manner and with minimal supervision.
  • Ability to work under the pressure of deadlines, multi-tasking & problem-solving, as needed
  • Database experience.
  • Strong customer service skills.

Physical Demands

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear.  The employee may regularly lift and/or move up to 15 pounds and occasionally lift and/or move up to 20 pounds.  Specific vision abilities required by this job include close vision and distance vision.
